Who we are

Maxi Office Pods is a trading name of Silent Collective Ltd, a company registered in England and Wales with company number 17392450. Our registered office is 1 Oak Court, 67–72 Bethel Road, Sevenoaks, Kent TN13 3UE, and our showroom is at 29 Clerkenwell Road, London EC1M 5TA. Silent Collective Ltd is the data controller for the personal information described in this policy.

What we collect

Information you give us

  • Enquiries and quotes: your name, company, email address, phone number, delivery postcode and anything you include in your message.
  • Trade enquiries: your company name, website, type of business and project details.
  • Orders: billing and delivery addresses, contact details, purchase order number, the products you buy and payment records.
  • Site surveys and installations: site access details, contact names on site and notes needed to deliver and install your booths.
  • Correspondence: emails, calls and messages you send us.

Information collected automatically

  • Website analytics: if you allow analytics cookies, Google Analytics collects information about how you use the site, such as pages viewed, device and browser type and approximate location.
  • Site statistics: our hosting provider, WordPress.com (Automattic), records basic visit statistics such as pages viewed and referring sites.
  • Technical data: your IP address and browser information are processed when pages, fonts and maps load, so the site can be shown to you.

How we use your information

We only use your information where the law allows. The table below explains each use and the legal basis we rely on.

  • To reply to enquiries and prepare quotes: our legitimate interest in responding to people who contact us, or steps taken at your request before entering a contract.
  • To process orders, issue invoices, arrange site surveys, deliver, install and provide warranty support: performance of our contract with you or your business.
  • To keep financial and tax records: our legal obligations.
  • To understand how the website is used and improve it: your consent, given through our cookie pop-up.
  • To send you news and offers by email: your consent. You can unsubscribe at any time using the link in any email.
  • To protect our business, prevent fraud and enforce our terms: our legitimate interests.

Who we share it with

We never sell your information. We share it only with organisations that help us run our business, and only as much as they need:

  • WordPress.com (Automattic), which hosts this website and stores form submissions and orders.
  • WooCommerce, which runs our online shop.
  • Google, for website analytics (with your consent), web fonts and the map on our contact page.
  • Delivery and installation partners, where needed to deliver and install your booths.
  • Our accountants, banks and professional advisers.
  • Authorities where we are legally required to share information.

International transfers

Some of our providers, including Automattic and Google, may process information outside the UK, including in the United States. Where they do, the transfer is protected by recognised safeguards such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum.

How long we keep it

  • Orders, invoices and related correspondence: six years after the end of the financial year in which the order was placed, to meet tax and accounting rules.
  • Enquiries that do not lead to an order: up to two years from our last contact with you.
  • Marketing preferences: until you unsubscribe or ask us to delete them.
  • Analytics data: up to 14 months.

Cookies

Cookies are small files stored on your device. We use two kinds:

  • Essential cookies that make the site work, such as remembering what is in your basket and keeping checkout secure. These are always on.
  • Analytics cookies from Google Analytics that help us understand how the site is used. These are only set if you choose “Accept all” in our cookie pop-up.
